We are a company based in the European Union. We only list our prices and charge our clients in Euros. As a result our invoices are expressed in Euros too. The invoices are perfectly acceptable all over the world, of course including the USA.

Details

Your bank or your payment processor will convert the Euro amount we charge you to your local currency, i.e. US Dollars. This is based on the exchange rate effected by the bank / payments processor, including any fees or profit margin they charge you. However, the amount we charge is always in Euros. Therefore the invoices reflect that and are expressed in Euros too.

Our invoices are perfectly acceptable by the IRS since we're already complying with the far stricter invoicing rules set forth by the European Union. You don't need a separate invoice. You need the same invoice you were already sent.

Typically, the transaction is registered in the books by converting Euros to USD using the FED median exchange rate of the invoice day. The difference between that amount and the amount charged by your bank is registered as banking expenses (because this is exactly what currency conversion fees are).

As a state college, we are required to provide them invoices from the vendor in USD.

Can you help me out and create one for me?

I cannot do that because all of our billing and invoicing is only ever done in Euros. I cannot issue an invoice in any other currency.

FWIW we've sold subscriptions to other US state colleges and none had an issue with our invoices. Please do ask your billing department. Our invoices are acceptable in the USA just fine. In fact, half of our clients are from the USA. If the invoices were not acceptable by the IRS we'd have a massive outcry from thousands of users over the last 7 years.
